Camera-ready submissions

Mandatory step-by-step camera-ready guidelines:

  1. SMAP 2024 proceedings will be published by the IEEE, and all papers are expected to be formatted according to the IEEE Author Final Paper Preparation and Submission Instructions. Please use the templates found at: https://www.ieee.org/conferences/publishing/templates.html. We remind you that the regular paper length is considered to be *6 pages*. An option to buy additional pages is available during the registration process.
  2. The appropriate copyright clearance code notice *is to be added at the bottom of the first page of each paper before creating the camera-ready PDF* according to the guidelines set forth in the Cataloguing/Copyright Instructions for an IEEE Conference Proceeding, as follows:
      • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
      • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3315-0450-2/24/$31.00 ©2024 Crown
      • For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3315-0450-2/24/$31.00©2024 European Union
      • For all other papers the copyright notice is: 979-8-3315-0450-2/24/$31.00 ©2024 IEEE
  3. If you use LaTeX and in order to correctly prepare your paper, please make sure that:
1.The following code is located before the \maketitle command:
    \IEEEoverridecommandlockouts
    \IEEEpubid{\makebox[\columnwidth]{979-8-3315-0450-2/24/\$31.00~\copyright2024 IEEE \hfill} \hspace{\columnsep}\makebox[\columnwidth]{ }}
    2. The following code is located after the \maketitle command:
    \IEEEpubidadjcol
  4. You are instructed to use the dedicated IEEE PDF eXpress site: https://ieee-pdf-express.org and enter the following Conference ID: 63474X to validate your camera-ready papers. Please note that all PDFs to be included in IEEE Xplore® (e.g., title page, copyright page, author index, etc.) should have been validated through PDF eXpress for Xplore compatibility.
  5. After steps 1.-4. have been successfully concluded and in order to verify your camera-ready paper, you will have to *update/overwrite your initially submitted file* using the Easychair submission interface: https://easychair.org/conferences/?conf=smap2024
  6. Due to recent changes in the way IEEE manages Conference Publications, it is obligatory to additionally upload your verified final camera-ready paper to the IEEE Conference Publishing Services (CPS) system, using a direct link to be communicated to you by e-mail by the SMAP 2024 organizers upon succesfull verification of your camera-ready paper (in previous step 5). This step will additionally allow you to:
    ●     Submit your camera-ready paper’s copyright
    ●     Upload your final camera-ready paper directly to IEEE’s CPS system
  7. According to SMAP 2024 registration guidelines, each paper must have at least one author registered at a *non-student rate* by *Sunday, October 20, 2024*. Registration information is available at: https://smap2025.uniwa.gr/index.php/registration/
Please note that this is also a hard requirement. IEEE will remove papers that are not accompanied by an eligible registration type from the list of papers to be included in the published conference proceedings, and, due to the hard deadline, it will not be possible to include papers for which registration has been paid at a later day.

For any further information concerning the preparation and submission of your camera-ready paper you may also contact directly the conference’s organizers at smap@uniwa.gr.
